Terms and conditions

These terms bring together the terms of use, which govern use of the Service, and the terms of sale, which govern the paid subscription. They replace any earlier version.
1. Who is party to this contract
The Service is published by Front Desk, a société par actions simplifiée (SAS) with share capital of 1 000 €, whose registered office is at 24 rue Garnier Pagès, 94100 Saint-Maur-des-Fossés, France, registered as RCS Créteil 909 754 608, hereinafter "Front Desk". Further identification details appear in the legal notice.
In the articles that follow:
- the "Client" is the property, business or organisation that subscribes to the Service;
- the "User" is a person for whom the Client opens an account: a member of its team, a seasonal or temporary worker, or a contractor;
- the "Service" is the Front Desk application, accessible via a browser and via the mobile apps, as well as the front-desk.fr website.
The Service is intended for professionals acting in the course of their business. It is not intended for consumers.
2. Acceptance
Creating an account and using the Service constitute unreserved acceptance of these terms. The person subscribing represents that they have the authority to bind the Client.
3. What the Service does
Front Desk lets a property's teams pass on their day-to-day information to each other:shift log, maintenance tickets, checklists, lost and found, cash register, a shared calendar and document filing. Full details of each tool are presented on the site.
Front Desk is not a booking engine, a property management system, a staff scheduling tool, or accounting software. It does not manage the property's reservations or its guests' billing.
4. Accounts and their security
The Client opens one named account per person. The number of accounts is unlimited and has no effect on the price. A login is not shared: the value of the Service comes from every entry carrying the name of whoever made it.
Each User keeps their password confidential and is responsible for actions taken from their account. The Client notifies Front Desk without delay if it becomes aware of unauthorised access. The Client is responsible for the accounts it opens, the permissions it grants them, and closing them when someone leaves the property.
5. What the Client agrees not to do
- Post content in the Service that is unlawful, abusive, or infringes a third party's rights.
- Attempt to access another property's data, circumvent access controls, or disrupt the Service's operation.
- Resell, sublicense, or make the Service available to a third party who is not a User at its property.
- Use the Service for a data processing activity for which it has no legal basis.
In the event of a serious breach, Front Desk may suspend access after notifying the Client, except in a clear emergency.
6. The trial and the free plan
Every sign-up starts a 6-month trial across every tool, with no card required and no commitment. At the end of the trial, in the absence of a subscription, the property automatically switches to the free plan: the shift log and its last 7 days stay open to the whole team, with an unlimited number of accounts. The other tools close and their content is kept; it becomes accessible again if the Client subscribes.
The free plan has no time limit. Front Desk reserves the right to change its content, notifying affected properties at least one month in advance.
7. Pricing
The subscription is made up à la carte: the Client turns on the tools its teams use and only pays for those. Price ranges from €29 to €89 excluding tax per month and per property depending on the number of tools, with the shared calendar, document filing, mobile apps, notifications and unlimited accounts included at no extra cost. Two discounts may apply and can be combined: 10% for seasonal or annual billing, and 15% on each property from the second one onward within the same group. From 5 properties onward, pricing is the subject of a specific proposal.
Prices are stated in euros and excluding tax; VAT at the applicable rate is added. Front Desk may revise its prices; an increase is notified to the Client at least two months before it applies, and only takes effect at the next renewal. A Client who declines it may cancel under the conditions of Article 9.
Free access for hotel schools, training organisations, non-profit associations and social housing providers is granted after review of the application, on presentation of supporting documents. It is not automatically granted simply by signing up.
8. Billing and payment
The subscription is billed in advance, at the start of each subscribed period: monthly, seasonally or annually. Payment is made by bank transfer on receipt of the invoice, or by SEPA direct debit after signing a mandate.
Invoices are payable within thirty days of the invoice date, unless stated otherwise on the invoice itself.
In accordance with Article L.441-10 of the French Commercial Code, any late payment automatically triggers, with no prior formal notice required, late payment penalties calculated at the rate applied by the European Central Bank to its most recent refinancing operation plus ten percentage points, along with a flat-rate collection cost indemnity of €40. This indemnity does not cover collection costs actually incurred beyond that amount, reimbursement of which may be requested on presentation of supporting documents.
In the event of an unpaid invoice, and after a reminder has gone unanswered for fifteen days, Front Desk may suspend access to paid tools. The property then keeps the access provided under the free plan, and its data remains stored.
9. Term and cancellation
The subscription runs for the subscribed period and then automatically renews for a further period of the same length.
The Client may cancel at any time, with no notice period and with no need to justify the decision, by writing to hello@frontdesk-app.com. Cancellation takes effect at the end of the period already paid for: the Service stays open until then, and no new period is billed. Amounts already paid for the current period are non-refundable.
Front Desk may terminate the subscription in the event of a serious breach by the Client of its obligations, left unaddressed thirty days after formal notice, or in the event of persistent non-payment.
10. The Client's data
Everything the Client's teams write in the Service belongs to the Client. Front Desk makes no other use of it beyond operating the Service, and does not pass it on or sell it to anyone.
At the end of the subscription, the property returns to the free plan: the shift log stays open to the whole team, and the content of the other tools is kept, ready to reappear if the Client subscribes again. The Client may also request an export of its data in a readable format, at any time and up to three months after the subscription ends, by writing to hello@frontdesk-app.com.
Permanent deletion of a property and its content only happens at the Client's express request.
11. Availability, maintenance and support
Front Desk uses reasonable means to keep the Service accessible at all times. The Service may nonetheless be interrupted for maintenance, for an update, or because of an event beyond our control, in particular a failure by the hosting provider or the network. Scheduled interruptions are announced in advance and scheduled outside service hours as far as possible.
Support can be reached by email at hello@frontdesk-app.com. Monday to Saturday, 9am to 7pm. Response within 48 hours, within 24 hours for Premium properties under contract.
12. Liability
Front Desk is liable for direct damages caused by a breach of its obligations. Its liability cannot be engaged for indirect damages, in particular loss of business, revenue, goodwill or reputation.
The Service is a tool for passing information between teams: it does not replace the property's own organisation, nor the checks that fall to it, in particular regarding security, hygiene and cash handling. The Client remains responsible for the accuracy of what its teams write in it and for how it is used.
Except in the case of gross or wilful misconduct, any compensation that may be owed by Front Desk in respect of a given year is capped at the amounts actually paid by the Client over the twelve months preceding the event giving rise to the claim.
13. Intellectual property
The Service, its code, its visual identity, its text and the Front Desk trademark remain the property of Front Desk. The subscription grants a personal, non-exclusive and non-transferable right of use, for the duration of the subscription and solely for the property's own needs. It does not transfer any rights.
14. Personal data
The Client is responsible for the processing of data its teams enter in the Service; Front Desk acts as a data processor within the meaning of the EU General Data Protection Regulation, and only acts on this data on the Client's instructions and to operate the Service. Processing activities, retention periods, the outside services used and everyone's rights are described in our privacy policy.
15. Changes to these terms
Front Desk may update these terms. Any substantial change is brought to the Client's attention at least one month before it takes effect. A Client who does not accept it may cancel under the conditions of Article 9.
16. Governing law and disputes
These terms are governed by French law. In the event of a dispute, the parties will first try to reach an amicable solution. Failing agreement within sixty days, the dispute will be brought before the courts having jurisdiction over Front Desk's registered office.
